Assigning and changing access levels of your stakeholders (invitations to Ledgy)

Stakeholders and other collaborators can have 4 different access levels to your company: owner, admin, view or portfolio. This article explains how to invite them, adjust their access levels and adjust the stakeholder invitation.

    Assigning different access levels to stakeholders

    • Both owners and admins can invite stakeholders, but only owners can change access levels
    • Invitations expire after 30 days

    Inviting a stakeholder with Portfolio access

    1. Go to the Stakeholders page

    2. Place the cursor on the row of a stakeholder you want to invite

    3. Click the Invite button under "Portfolio access" column

      Note: Make sure that the "Portfolio access" column is selected as visible within the stakeholders columns. For more information visit the Stakeholders columns.

    4. Verify or add stakeholders' email

    5. Confirm by clicking the Invite button

    Note: When a stakeholder accepts the invitation to their portfolio, the green checkmark will appear in the "Portfolio access" column on the Stakeholders page. When the stakeholder has been invited but has not yet accepted, a small blue clock will appear in the "Portfolio access" column on the Stakeholders page.

    Inviting a collaborator with Viewer, Admin or Owner access

    If the collaborator is new to Ledgy (and has not been added as a stakeholder):

    1. Go to the Company Settings > Collaborators
    2. Click the Add collaborator button
    3. Specify the name, email and access level in respective fields
    4. Click the Invite button

    If the collaborator has already been added as a stakeholder on Ledgy:

    1. Go to the Stakeholders page
    2. Place the cursor on the row of a stakeholder you want to invite
    3. Click the Three dot menu that appears next to the stakeholders' name
    4. Press the Invite as collaborator button
    5. Select the access level from the drop down
    6. Click Save

    Note: When a collaborator accepts the invitation to be a collaborator, the green checkmark will appear in the "Accepted" column on the Company Settings > Collaborators page. When a collaborator has been invited but has not yet accepted, a small blue clock will appear in the "Accepted" column on the Company Settings > Collaborators page.

    Re-inviting stakeholders

    1. Go to Stakeholders page
    2. Place the cursor on the row of a stakeholder you want to re-invite
    3. Click on the Three dot menu that appears next to the stakeholders' name
    4. Select Re-invite as a stakeholder
    5. Click Save

    Changing access levels and revoking access

    Changing access level

    1. Go to Company Settings > Collaborators
    2. Place the cursor on the row of a stakeholder whose access level should be changed
    3. Click on the Three dot menu that appears on the right hand side
    4. Press the Change access button
    5. Select access level from the drop down
    6. Click Save

    Revoke portfolio access

    1. Go to the Stakeholders page
    2. Place the cursor on the row of a stakeholder whose access level should be revoked
    3. Click on the Three dot menu that appears next to the stakeholders' name
    4. Select the Revoke portfolio access
    5. Press the Confirm button to save the changes

    Revoke collaborator (Viewer, Admin or Owner) access

    1. Go to Company Settings > Collaborators
    2. Place the cursor on the row of a stakeholder whose access level should be revoked
    3. Click the Three dot menu that appears on the right hand side
    4. Press the Revoke access button
    5. Select the Confirm button to save the changes

    Adjusting Stakeholder Invitation

    Ledgy allows you to adjust the email invitation sent to your stakeholders when you first invite them to use Ledgy.

    1. Go to Company Settings > General

    2. Within the Email Templates section, click on the Review button next to the Stakeholder Invitation

    3. Adjust the Subject and Message that will be sent to your stakeholders

      Note: You can test the format of this email by clicking on Send test. Email will arrive to a mail address indicated in the brackets. You can repeat the process indicated above and adjust the message until you are satisfied with the result.

    4. Confirm by clicking Save

    Most common problems and solutions

    The stakeholder can't see my company in their portfolio dashboard

    • Solution #1: Revoke access and invite them again

      1. Go to Stakeholders page
      2. Place the cursor on the row of a stakeholder that cannot see your company on their portfolio dashboard
      3. Click the Three dot Menu that appears on the right hand side
      4. Press the Revoke portfolio access button > Confirm
      5. Click the Three dot Menu again > Invite stakeholder
      6. Make sure that the email provided is correct
      7. Press Invite
      8. The stakeholder will receive another invitation to their email address. If they've already accepted it, it will show as invalid, if they haven't yet, they will see your company under "My Portfolio".
    • Solution #2: Stakeholder is invited as collaborator and not to their portfolio.

      Stakeholders with collaborator access do not automatically have access to their portfolio. Follow the steps mentioned within Inviting a stakeholder to Portfolio view chapter.
